ScribeAmerica, LLC and its affiliates and subsidiaries (“ScribeAmerica”) operates the websites located at the URL scribeamerica.com, scribe101.com, scribeuniversity.scribeamerica.com, and scribecorner.com (collectively referred together in this Privacy Policy as the “Websites”).
We at ScribeAmerica respect your concerns about privacy and value our relationship with you. This Privacy Policy is intended to inform you of our policies and practices regarding our collection, use, and disclosure of the Personal Information you submit to us and that we collect from you through the Websites. We consider information to be “Personal Information” if that information relates to an identifiable natural person. If information cannot be reasonably attributed to an identifiable natural person, it is not “Personal Information.”
This Privacy Policy does not govern information you might provide through a channel other than the Websites. This Privacy Policy applies to all visitors to the Websites.

ScribeAmerica as a Service Provider
ScribeAmerica customers are Covered Entities, as that term is defined in the Health Insurance Portability and Accountability Act of 1996 (“HIPAA”), who use our services to assist with medical record documentation and other associated tasks. This Privacy Policy does not cover protected health information. If you have any concerns about protected health information, please direct your inquiry to the relevant Covered Entity who may be responsible for such information.
How Information is Collected
We collect information through one or more of the following ways:
- Technical Information: We may collect technical information such as (i) IP address and other technical information collected from the servers utilized by you or your vendors, such as information and data that is automatically collected upon visiting the Websites (i.e. webpage http headers (home server domain names, internet protocol address, operating system type, browser type, and language) and information on what pages you access and other information about the way you use the Websites); and (ii) information provided on any application or authorization, such as your location, your handset type, your UDID (unique handset code) and any other information you or your mobile device provides to us.
- The completion of electronic forms found on the Websites or on a third-party hosted website, whether via computer or mobile device;
- The completion of paper forms provided to us;
- SMS (Short Message Service) messages sent via cell phone, or through email or other communications;
- Telephone calls made to us, or vice versa;
- Surveys;
- Referring websites or third parties, including social media sites such as Facebook, Twitter, Tumblr, Instagram, Pinterest, YouTube, Google+ and others including by virtue of advertisements placed by us on websites maintained by those third parties;
- Our affiliates;
- The maintenance and analysis of Websites server logs;
- Third-party applications used in the performance of our services or scope of employment;
- Events that we host or by visiting our stores; and
- “Cookies” (small text files placed by us on your computer(s)), single pixel GIF image files (also called “Web Beacons”), Websites server log analysis and other similar technological means. See the “Cookie Policy” section below.
Personal Information We Collect By Automated Means (“Cookie Policy”)
As well as information which you submit to us, we collect information by automated means when you visit the Websites, such as how many users visit the Websites and other related analytics. We collect this information to learn how to improve the Websites and how to best tailor it to our visitors; understand your interests; and provide interest-based advertising. Some of this information cannot be attributed to you (“Non-Personal Information”). However, if we combine any non-Personal Information with Personal Information (which we sometimes do), we will treat all of that combined data as Personal Information.
When you visit the Websites, we automatically collect information about your visit using cookies, log analytics software, and other aggregate tracking technologies. Cookies are bits of text that are placed on your computer’s hard drive when you visit certain websites. We may use cookies to tell us, for example, whether you have visited us before. If you wish, you may set your browser to refuse cookies. - First-party cookies: On our Websites we use certain cookies. Refusal of these cookies may result in your inability to access some pages or use some of the features and functions of the Websites. If you accept but then decline cookies, please note that some cookies will remain on your computer’s hard drive unless and until you manually delete the cookie file. However, please note that if you do this you may not be able to use the full functionality of this Websites. ScribeAmerica cookie files generally do not track your movement outside of our site.
- Analytics: This Websites uses Google Analytics, a web analytics service provided by Google, Inc. (“Google”). Google Analytics uses cookies to help ScribeAmerica analyze how users use the Websites. The information generated by the cookie about your use of the Websites (including your IP address) will be transmitted to and stored by Google on servers in the United States. Google will use this information for the purpose of evaluating your use of the Websites, compiling reports on Websites activity, and providing other services relating to Websites activity and internet usage for us. Google may also transfer this information to third parties where required to do so by law, or where such third parties process the information on Google’s behalf.
- Social Media: We may use social media sharing and other “widgets” to enable interaction with social networks, such as Facebook, Twitter, and LinkedIn. Some of these social networks may be able to track your visit to the Websites (or any site that uses the widgets) because when you visit a social network, it may place personally identifiable cookies in your browser that are then transmitted back to the social network when you visit other sites that use that network’s widgets, even if you do not click on or interact with the widget. If you have questions about a particular social network’s information collection or cookie practices, please refer to the privacy and use policies of that social network.
- Functionality: These cookies allow the Websites to remember choices you make (such as your user name, language, or the region you are in) and provide enhanced features. For instance, the Websites may be able to remember your login details, so that you do not have to repeatedly sign in to your account when using a particular device to access the Websites. These cookies can also be used to remember changes you have made to the text size, font, and other parts of web pages that you can customize. They may also be used to provide services you have requested such as viewing a video or commenting on an article. They do not gather any information about you that is used for advertising or remember where you have been on the internet.
- Advertising: Advertising technologies are used to deliver advertising that is relevant to your interests. These technologies are also used to limit the number of times you see an advertisement and to help measure the effectiveness of the advertising campaign. After visiting our site, you may see an advertisement for ScribeAmerica on another site.
We may share Non-Personal Information, including Personal Information that has been de-identified, aggregated user statistics, and usage Information; directly or indirectly through third party business providers, with third party advertising companies, analytics providers, and other third parties, including for the purpose of serving you more relevant ads. We may retain third party providers to help us perform these tasks. For example, we may share personal information with third parties who combine and link information from ScribeAmerica with information from other sources. These third-party providers may then make information available to third party advertisers, including information about your interests and preferences, to enable them to serve you more relevant ads.
Some of these third parties may be members of the Network Advertising Initiative (“NAI”) or Digital Advertising Alliance (“DAA”) Self-Regulatory Program for Online Behavioral Advertising. For mobile applications, you may be able to limit certain advertising practices using the settings on your mobile telephone, tablet, or other mobile device. On most mobile devices, you can install the DAA’s AppChoices app to make choices about cross-app interest-based advertisements from participating third parties. ScribeAmerica uses Google Analytics. Google Analytics uses cookies and similar technologies to collect and analyze information about the use of the Site and report on activities and trends. This service may also collect information regarding the use of other websites, apps, and online resources. Opting out through these mechanisms does not block all online advertising; you will continue to receive generic advertisements from us.

Do Not Track
When you use the Websites, you may have set your browser or other means used to access the Websites to send “do not track” requests to us. The major browsers have attempted to implement the draft “Do Not Track” (“DNT”) standard of the World Wide Web Consortium (“W3C”) in their latest releases. As this standard has not been finalized, the Websites are not compatible with DNT and so do not recognize DNT settings.
How We Use Your Personal Information
- For Website Operation: We will use your Personal Information to provide you services and content via the Websites.
- To Contact You: We will use your information to manage and communicate with you, including responding to your questions and providing customer or technical support.
- Email: We will send emails to site visitors and users who sign up for one of our mailing lists or who agree to receive future communications from us. If you sign up for communications from us but then wish to unsubscribe, follow the unsubscribe instructions in the email you receive from us or contact us as privacy@scribeamerica.com. Once we receive your unsubscribe request, we will cease our communication with you until and unless you re-subscribe for one of our mailing lists.
- Postal Mail: We may also send you communications via postal mail. If you are receiving postal mail communications from us and wish to no longer receive them, please email us at privacy@scribeamerica.com to ask us to remove you from our postal mailing list.
- Telephone and SMS Text Message: We may also contact you by phone or SMS text message where you provide your phone number, in connection with the service request, comment, or inquiry you submit to us via the Websites. If you do not wish to be contacted by phone or text message, please indicate that to the individual who is calling or texting you on your behalf, and we will remove your phone number from our contact list.
- For Improvement Purposes: We use the data we collect to understand how our Websites and services are being used to make improvements. We may solicit your feedback about your experience using our services, and ways that we can improve those services. We may use search queries entered into the Websites to improve search capabilities or performance. Additionally, we use questions posted or submitted on the Websites to enrich the content or help guide future enhancements to our products or services. The Websites gathers information for troubleshooting and improvement. We use third-party services, such as Google Analytics, to view aggregated information about end user usage and interactions.
- For Security: We may use your information to manage and secure our operations including diagnosing website technical problems, detecting security incidents, protecting against malicious, deceptive, fraudulent, or illegal activity, and prosecuting those responsible for that activity; debugging to identify and repair errors with our services; and auditing relating to interactions, transactions, and other compliance activities.
- For Education and Training: If you participate in our educational courses, your enrollment and attendance information will be recorded to track and report your participation and completion.
- To Personalize Your Experience: We use your information to personalize your experience on our Websites and offer products or services, including to enable third party services to display customized content and advertising provided by us. We use website tracking technologies to display products, services, features, or content that are tailored to your interests and to present advertising on other sites. - For Authentication: We may use your information to authenticate and verify individual identities, including requests to exercise your rights under this Policy.
- For Transaction Processing: We may use your information for the purposes of processing payments and fulfilling orders for products or services placed by you and order fulfillment and tracking.

- For Marketing: We may use your information to provide marketing messages, promotions, offers of products and services, and other content which we think will be of specific interest to you (where you have not opted out). We may also use your information to help third parties market their products and services.

- Other site features: The Websites offers various features that may change from time to time. We will use your Personal Information to provide you with information and communicate with you about these features.
- Other uses of information: We may use the Personal Information you provide on the Websites for internal purposes. These purposes include administration of the Websites, market research, data analytics, and compliance with our legal obligations, policies, and procedures.
- For Enforcement: We may use your information to enforce our agreements and policies.
- For Compliance: We may use your information to comply with our legal obligations, respond to legal inquiries, and to protect the rights of ScribeAmerica or other third parties.
Consent
Your knowledge of and consent to our collection, use and disclosure of your Personal Information is important. We rely on the following actions by you as indications of your consent to our existing and future Personal Information practices:
- Your voluntary provision of Personal Information to us directly;
- Your express consent or acknowledgement contained within a written, verbal or electronic application or claims process; and
- Your verbal consent solicited by ScribeAmerica (or our agent) for a specified purpose.
Where ScribeAmerica relies on consent basis for processing of Personal Information, the opportunity to consent will be provided when the Personal Information in question is collected. Your consent may be given through your authorized representative such as a legal guardian, agent or holder of a power of attorney.
Subject to certain legal or contractual restrictions and reasonable notice, you may withdraw this consent at any time. ScribeAmerica will inform you of the consequences of withdrawing your consent. In some cases, refusing to provide certain Personal Information or withdrawing consent for us to collect, use or disclose your Personal Information could mean that we cannot provide the requested services or information for you.

Please be aware, there are a number of instances where ScribeAmerica does not require your consent to engage in the processing or disclosure of Personal Information. We do not use your consent for the processing or transfer of Personal information for those purposes which have a statutory basis, such as:
- The transfer or processing is necessary for the performance of a contract between you and ScribeAmerica (or one of its affiliates);
- The transfer or processing is necessary for the performance of a contract, concluded in your interest, between ScribeAmerica (or one of its affiliates) and a third party;
- The transfer or processing is necessary, or legally required, on important public interest grounds, for the establishment, exercise, or defense of legal claims, or to protect your vital interests; or
- The transfer or processing is required by applicable law.
How We Protect Personal Information
We maintain administrative, technical, and physical safeguards for the Websites designed to protect against unauthorized disclosure, access to, or loss of Personal Information we collect through the Websites.
Data Retention
We will retain your information at least as long as necessary for the purposes in which you provided it and to comply with any laws or regulations, resolve disputes, and enforce our agreements. We may retain your information for a legitimate business interest where business benefit is not outweighed by your personal rights and freedoms.
Children’s Information
The Websites is not intended for anyone under the age of 18. No Personal Information is knowingly accepted, requested, or collected from children under the age of 18. No part of the Websites is designed to attract anyone under the age of 13. If we learn that we have collected Personal Information from an individual user under the age of 13 without verification of parental consent, we will delete this information from our databases. Should you suspect that a child of whom you are the parent or legal guardian has provided us with Personal Information, please contact us at privacy@scribeamerica.com and we will work with you to address this issue.
Your California Privacy Rights
Under California Civil Code Section 1798.83, California users are entitled to request information relating to whether a business has disclosed Personal Information to any third parties for the third parties’ direct marketing purposes. ScribeAmerica does not sell or share your Personal Information with third party companies for their direct marketing purposes without your consent.
Individuals that reside in the State of California who are job applicants, employees, directors, officers, or contractors of ScribeAmerica should also review our CCPA Notice at Collection and Privacy Policy.
Changes to Policy
We reserve the right to change this Privacy Policy at any time, so please review it on a regular basis. Any changes made to this Privacy Policy will be posted here, and we will take steps to notify you of material changes, such as via email or prominent notice on the Websites.
